How it works

Four quiet moves. One recovered invoice.

Most stores see Hatchstone settle the first invoices within a week of turning it on — and stop the awkward “just chasing” email forever.

  1. 01

    Plug Hatchstone in

Connect Shopify, WooCommerce, QuickBooks or Xero and Stripe in two clicks. Hatchstone reads your invoices, terms, and receivables queue.

  2. 02

    It watches your A/R

Every invoice is on a quiet timer. The moment one crosses a threshold, a calm, on-brand reminder goes out — automatically.

  3. 03

    It negotiates

If a buyer replies hesitantly, Hatchstone proposes 2 or 3-installment plans, locks terms, and follows through — no manager involvement yet.

  4. 04

It escalates — only when needed

Hard cases land in your inbox with full context. Nobody is asked to chase a polite-but-hopeless invoice at 9pm again.

“I used to spend the first hour of every Monday chasing invoices. Hatchstone took that off my plate — and the cash just shows up.”

FAQ

Five questions small-store founders ask first.

If yours isn’t here, write to hatchstone-3@polsia.app. A founder-side human answers.

Does Hatchstone replace my accounting app?

No — it sits on top. It reads QuickBooks or Xero for invoice status, customer history, and terms, and writes back only the actions you allow (notes, plan schedules). Your books stay the source of truth.

Question 1
Will buyers know it’s an AI agent?

Hatchstone signs messages in your store’s voice. You can disclose the agent or keep it private — both are common and both are fine. The tone is never robotic; the goal is a reply, not a confession.

Question 2
What does "escalate" actually mean?

When a buyer is evasive, hostile, or asking for terms outside your rules, the conversation is paused and a clean summary lands in your inbox. You decide the next move. Hatchstone never sends legal threats.

Question 3
How is my customer data handled?

Hatchstone is scoped to the stores and books you authorize, scoped to the data needed for collections, and discarded once an invoice is settled. We do not train product AI on your buyer data.

Question 4
When can I start?

Email hatchstone-3@polsia.app. A human replies within a business day, helps wire the integration, and turns the agent on once you’ve approved its voice.
